How Whitney in the City handles your information on this website, at booking, and in texts and calls.
The short version
- We collect only what we need to run the studio: what you send us, and simple counts of how the website is used.
- We don't sell your personal information, and we don't use advertising trackers or cross-site cookies.
- Booking and payments happen in Square, under Square's own privacy notice.
- If you text or call our text-enabled number, we use your number only to reply to you, and we stop texting you the moment you reply STOP.
When you visit the website
Our website counts visits itself, on our own Cloudflare account, so we can see which pages help people book. For each page view or tap on a booking or outbound link we record: the page, the kind of event, where the link goes (for example, which studio's booking page), the campaign tags in the link (utm), the website you came from (its name only, not the full address), your country, and whether you're on a phone or a computer.
We don't record your IP address or browser details. To count unique visitors, the server turns them into a code that changes every day, so it can't follow you from one day to the next. The site sets no cookies for this and runs no third-party analytics or advertising scripts. If your browser sends Do Not Track or Global Privacy Control, nothing is recorded.
Your browser keeps a few preferences on your own device (local storage): the studio you picked, whether you closed the announcement banner, services you saved on the booking page, and the last service you tapped Book on, so the site can offer Book again. They're kept on this device and never sent to us; you can clear them in your browser settings, and closing the Book again line forgets that service.
Our website is hosted by Cloudflare, which processes technical request data (such as IP addresses) to deliver and protect the site.
Contact form and newsletter
If you use a contact form, we receive your name, email address, message and the page you sent it from, and we email a copy to our studio inbox so we can answer you. If you sign up for the newsletter, we keep your name and email address to send you news about our services, promotions and events, and you can ask us to remove you at any time. To limit spam, we store a coded version of your IP address with the message (the code changes every day and can't be turned back into the address); we don't keep the IP address itself.
Booking, payments, gift cards and the shop
Appointments, payments, gift cards and shop orders are handled by Square. When you book or buy, you give your details to Square, and Square shares the booking or order with us so we can serve you. Square's reminders and receipts come from Square. Square's privacy notice applies to what you give Square: squareup.com privacy notice.
Texts and calls
If our studio phone can't answer, the call may be forwarded to our business number with our phone and text provider, Telnyx. There a short greeting plays and you can leave a voicemail. Voicemail is recorded, and the greeting says so.
After a missed call we may send you one text with a link to book online. We don't send more unless you reply. If you text that number, we use your message only to answer you: it is passed to our team's phone. We don't keep the text of your messages in our own systems. To make sure we text a number at most once a day and never after you opt out, we keep a coded version of your number (it can't be turned back into the number without a secret key) with the time of our last text and any opt-out. Telnyx carries the calls and texts and stores voicemail recordings for us; its privacy policy is at telnyx.com. Texting our studio phone directly, from the Text button on this site, works like any other text message to a business.
AI assistants
We are preparing an AI text assistant that can answer questions about our services and send booking links. It isn't on yet. When it is, it will tell you it's an AI assistant, it will answer from our published service information, and a person on our team will follow up on anything it can't answer. Your messages to it will be processed by Telnyx and by the AI model provider that powers it, only to answer you.
We also publish a read-only connector (an MCP server) that AI assistants such as ChatGPT or Claude can use to look up our services, prices, hours and booking links. It doesn't take bookings or ask for personal information. Its logs record which tool was used and whether it worked, not who asked or what they asked. Whatever you type into your own AI assistant is governed by that assistant's privacy policy.
Who we share information with
We share information only with the services that run the studio for us: Square (booking and payments), Cloudflare (website, forms and analytics storage), Telnyx (calls and texts), Google Workspace (our email), and Instagram and Facebook if you message us there. We don't sell or rent personal information, and we don't share your mobile number or text consent with anyone for their marketing. We may disclose information if the law requires it.
How long we keep it
- Contact messages and newsletter sign-ups: as long as we need them to answer you and keep a record of our conversation, or until you ask us to delete them.
- Website counts: kept to compare months and seasons. They don't identify you.
- Coded phone numbers used for texting: deleted after about 90 days without contact. An opt-out is kept for as long as we use that number, so we keep honoring it.
- Voicemail recordings: kept only as long as we need them to call you back.
Your choices
- Texts: reply STOP to stop, START to start again, HELP for help.
- Analytics: turn on Global Privacy Control or Do Not Track in your browser and the site records nothing.
- Newsletter: ask us to remove you, or use the unsubscribe link in any newsletter.
- Your information: email hello@whitneyinthecity.co to ask what we hold about you, or to correct or delete it. We'll answer within 30 days. Square, Telnyx and the other services above also offer their own choices.
Children
Our website isn't directed to children under 13, and we don't knowingly collect their personal information. If you think a child has sent us information, email us and we'll delete it.
